Assigning Vehicles

Linking vehicles to drivers to track usage and accountability.

What is Vehicle Assignment?

Vehicle Assignment is the process of formally linking a specific vehicle to a specific driver for a defined period. This creates an official record of who is responsible for a vehicle at any given time.

Why is it Useful?

This feature is fundamental for accountability and operational tracking.

  • Clear Responsibility: If a vehicle gets a traffic ticket, is involved in an incident, or requires maintenance, you know exactly which driver was using it at the time.
  • Usage History: Over time, you can build a history of which drivers have used which vehicles, which can be useful for performance reviews or resource allocation.
  • Prevents Unauthorized Use: By assigning vehicles, you create a clear expectation that only the assigned driver should be operating it.

For example, if you are managing a delivery service, you would assign a specific van to a driver for their weekly shift. If any issues are reported with that van during the week, you have a clear record of who to speak with.

This page shows a list of all vehicle assignments, both past and present.

Searching and Filtering Assignments

  • Search: You can use the search bar to find assignments by vehicle license plate, driver's name, or even a specific date.
  • Filter by Status: A common use is to filter the list by the "Status" field. For example, you can select "Active" to see only the assignments that are currently in effect, or "Inactive" to review past assignments.

How to Manage Vehicle Assignments

Creating a New Assignment

  1. Navigate to the Vehicle Assignment page.
  2. Click the + Add Assignment button.
  3. Fill in the details for the new assignment.

  1. Click the Add Assignment button to save the record.

Updating or Deactivating an Assignment

You might need to extend an assignment or end it early.

  1. From the assignment list, find the entry you wish to modify.
  2. Click the icon for that row.
  3. Select Edit .
  4. You can change the End Date or update the Status. For example, changing the status to "Inactive" effectively ends the assignment.
  5. Click Update Assignment to save your changes.

Deleting an Assignment

If an assignment was made in error, you can delete it.

  1. Find the assignment in the list.
  2. Click the icon.
  3. Select Delete .
  4. Confirm the deletion. This will permanently remove the assignment record.
